Photography Studio Session Day Checklist

Autumn is peak season for portrait studios: holiday cards, family portraits, pet photos and back-to-back mini sessions on weekends. A late start or a forgotten memory card ruins a session that cannot easily be repeated. A session day checklist keeps equipment ready, clients happy and images safe.

The Day Before

  • Confirm bookings with clients, including time, location and what to bring
  • Charge all camera and flash batteries
  • Format and label memory cards
  • Check lighting equipment and modifiers
  • Prepare props and backdrops for each session type
  • Check the session schedule leaves buffer time

Studio Opening

  • Clean and set the studio: backdrop, floor, seating
  • Set lights and take test shots
  • Check camera settings and white balance
  • Prepare client area: seating, water, changing space, mirror
  • Check payment and booking system

During Sessions

  • Greet clients and explain the session plan
  • Keep to time, especially for mini sessions
  • Back up images between sessions if the schedule allows
  • Note any special requests or orders

Mini Session Days

  • Run a strict schedule with a staff member managing arrivals
  • Reset the set and props between families
  • Keep a running list of which card holds which session

Client Care

  • Explain when and how images will be delivered
  • Take orders and payments
  • Get model releases or consent where you plan to use images in marketing

Close-Down

  • Back up all images to at least two locations before formatting any card
  • Charge batteries for the next day
  • Clean and store equipment and props
  • Reconcile payments and orders
  • Update the client list and delivery schedule
