Museum and Gallery Opening Checklist

A museum or gallery opens to the public looking calm. Walls of art, polished floors, soft lighting, quiet rooms. None of that calm is accidental. Before the doors open, a team has walked every gallery, checked every label, tested every light, and confirmed every piece of art is exactly where it should be.

Pre-Open Walkthrough

The first staff in the building does a walkthrough of every gallery.

  • Confirm all art is in place and undisturbed
  • Inspect for any signs of overnight issues (moisture, pests, alarm activations)
  • Check temperature and humidity levels in each gallery
  • Verify lighting is at the correct level for each space
  • Inspect all labels for damage or position
  • Spot-check the security camera feeds

Climate and Conservation

The art does not survive a bad climate day. Temperature and humidity are not comfort issues. They are conservation issues.

Check the HVAC log first thing. Look for any overnight excursions outside the target range.

Spot-check humidity in galleries with sensitive pieces. Some pieces have tighter tolerances than others.

Note any visible condensation or dust. Both are signs of bigger issues that need maintenance attention.

Visitor Areas

Before the doors open, the visitor experience needs to be ready. That includes the parts people do not consciously notice.

  • Wipe down all benches and seating
  • Polish the entry doors and any glass
  • Restock the brochure racks
  • Confirm the gift shop is set up and the POS is running
  • Confirm the café or coffee bar is ready if applicable
  • Restock restrooms with paper and soap

Education and Programs

Most museums have school groups, tours, or programming scheduled. Each needs setup before the visitors arrive.

  • Confirm the day's tour schedule with the docent team
  • Set up any program rooms with chairs, materials, or AV
  • Print and post the day's tour times and meeting points
  • Brief the docents on any flagged groups or VIPs

Front Desk and Admissions

  • Confirm staffing for the day, including coverage for breaks
  • Set up the admissions station with tickets, brochures, and POS
  • Confirm any special exhibitions or members-only access for the day
  • Count the till and confirm the float
  • Confirm the website and online ticketing system are showing the right info

Security

Security is doing their own walkthrough at the same time the curatorial team is doing theirs.

  • Confirm all alarms are armed where appropriate and disarmed where galleries are open
  • Check all emergency exits are clear and operable
  • Review overnight incident logs
  • Brief any visiting security staff
  • Confirm radios and communication systems are working

Final Pre-Open

Five minutes before doors open, the lead staff does a final walk.

Galleries look the way they should. Lights, labels, art, climate.

Visitor areas are spotless. Lobby, restrooms, café.

Team is in position. Docents, security, admissions, gift shop.
