Daycare Arrival and Departure Checklist

The two riskiest moments in any daycare are drop-off and pickup. A parent is in a hurry, the child is processing a transition, the staff is taking in information about feeding, sleep, medication, and mood. If any of that information is missed, the day goes sideways. Worse, a bad hand-off is how a child gets sent home with the wrong adult, or arrives without a parent knowing about an injury.

Pre-Arrival Setup

Before the first family walks in, the room needs to be ready.

  • Sign in to the family communication app on every classroom device
  • Set out sign-in sheets if your center still uses paper
  • Stock the diaper changing area
  • Set out morning activities or breakfast
  • Confirm the day's staff-to-child ratio in each room
  • Confirm any allergies, medication schedules, or special instructions for the day

Drop-Off Routine

Every drop-off follows the same routine. Skipping any of it is how mistakes happen.

Greet the child first, by name. The transition is hardest for the child. Acknowledging them sets the tone.

Greet the parent and ask how the morning went. Tired? Did they eat? Any concerns? Two minutes here saves hours of guessing later.

Log arrival time in the system. State licensing requires it.

Confirm any medication, special feeding, or pickup notes. Verbal plus written.

Walk the child to their classroom or activity. Do not leave them at the door.

Through the Day

The arrival information should be visible to every staff member in that classroom throughout the day. If a teacher swaps in for break coverage, they should see the same notes.

  • Log every meal, snack, nap, diaper, and activity
  • Update parents via the communication app per the center's schedule
  • Photograph activities with consent for the family record
  • Flag any incidents, injuries, or unusual behavior immediately

Pickup Routine

Pickup is where verification matters most. The center is legally responsible for releasing the child only to authorized adults.

Verify the adult against the authorized pickup list. Every time, even if you recognize them.

Check ID if the adult is unfamiliar or it is the first time they have picked up. No exceptions.

Walk the parent through the day. Meals, naps, mood, milestones, any concerns.

Hand off any artwork, dirty clothing bags, or medications. Restock for tomorrow.

Log departure time in the system. Required for licensing.

Closing the Center

  • Final classroom walkthroughs to confirm no child is missed
  • Sanitize all classroom surfaces, toys, and high-touch areas
  • Wash bedding and bibs for tomorrow
  • Restock diapers, wipes, and consumables
  • Reconcile attendance against the sign-in logs
  • Confirm tomorrow's staff schedule
  • Lock the building and arm the alarm
