
Meal Prep Company Production Day Checklist
Prepared meal companies have grown into a big category: weekly fitness meal plans, family meal kits, office lunches and diet-specific menus. Production days are intense. Hundreds of meals are cooked, cooled, portioned, packed, labelled and dispatched, each one with a label that has to be right. A mistake in allergen labelling or cooling is not a bad review; it can be a recall.
Prepared food businesses are subject to food safety rules that vary by location and by whether you sell direct or wholesale. In the US, the FDA's Food Safety Modernization Act and state and local rules apply. Work with your local regulator on the specifics.
Before Production
- Review the production plan: menu, quantities, allergen-free orders
- Check ingredient stock and deliveries
- Check and log refrigerator, freezer and blast chiller temperatures
- Clean and sanitise all prep areas and equipment
- Brief the team on the day's menu, allergens and roles
Receiving
- Check delivery temperatures and condition
- Reject anything out of temperature or damaged
- Label with receiving date
- Store immediately in the right place: raw below ready-to-eat
Cooking
- Follow standard recipes for each dish
- Check and record cooking temperatures with a calibrated thermometer
- Use separate equipment and areas for allergen-free orders
- Keep raw and cooked food separate
Cooling
Cooling is one of the most important controls in prepared food. The FDA Food Code, for example, sets cooling limits for cooked food (from 135°F to 70°F within two hours, and to 41°F or below within a total of six hours). Check your local rules.
- Use blast chillers or shallow containers to cool quickly
- Record start time and temperatures at each stage
- Do not stack hot containers
Portioning and Packing
- Portion to standard weights and check samples
- Pack into the correct containers for each meal
- Seal containers properly
- Keep packed meals chilled
Labelling
- Print labels from the approved menu data, not by hand
- Check every label: product name, ingredients, allergens, use-by date, storage instructions, nutrition if required
- Verify allergen-free orders against the order list before sealing
- Spot-check a sample of labels against the meals inside
Dispatch
- Pack meals into insulated boxes with ice packs or refrigerated vehicles
- Check delivery routes and timing
- Record dispatch temperatures where required
- Include storage and heating instructions
Cleaning and Close
- Clean and sanitise all surfaces and equipment
- Log temperatures and cooling records
- Record waste
- Note stock levels for the next production day
