Medical spas have grown fast, offering injectables, laser treatments, chemical peels and body treatments in a setting that feels more like a hotel spa than a clinic. That combination is the challenge. Clients expect luxury hospitality. Regulators expect clinical standards. The daily checklist has to deliver both.

Regulations for med spas vary widely by state and country, including who can perform which procedures and what medical supervision is required. This checklist covers daily operations; your medical director and local rules decide the clinical specifics.

Opening

  • Turn on and check HVAC, lighting and music in client areas
  • Check the day's schedule and confirm which provider is in which room
  • Review any client notes: allergies, previous reactions, special requests
  • Confirm the supervising clinician is available as required
  • Check that emergency equipment and the emergency kit are in place and in date

Treatment Rooms

  • Clean and disinfect all surfaces, beds and equipment between every client
  • Replace linens and disposables
  • Restock gloves, gauze, cleansers and single-use items
  • Check sharps containers and replace if full
  • Confirm room temperature and lighting are comfortable

Devices and Products

  • Run daily checks on lasers and energy-based devices according to the manufacturer
  • Confirm safety eyewear for each device is in the room
  • Check refrigerator temperatures for products that need cold storage and log them
  • Check expiry dates and lot numbers on injectable products before use
  • Record lot numbers in client records when products are used

Clients and Consent

  • Confirm identity and update medical history at each visit
  • Make sure consent forms are signed for each procedure
  • Take before photos with the client's permission
  • Review aftercare instructions with the client and give a written copy
  • Book follow-up appointments where needed

Front Desk

  • Confirm next-day appointments and send reminders
  • Check deposits and payment holds
  • Restock retail shelves and check testers
  • Keep the waiting area tidy throughout the day

Records and Privacy

Client records, photos and medical histories are health information. In the US, med spas that are covered entities must follow HIPAA rules on how records are stored and shared. Lock screens when stepping away, never store client photos on personal phones, and limit who can see records.

Closing

  • Complete clinical notes for every client seen
  • Clean and disinfect every room and device
  • Turn off and secure devices according to manufacturer instructions
  • Log refrigerator temperatures at closing
  • Lock product storage and controlled items
  • Reconcile payments and close the register
