Hostel Front Desk Daily Checklist

Hostels are busy, social and often run by small teams covering long front desk shifts, sometimes overnight. Guests arrive at all hours, share rooms with strangers and rely on lockers, keys and house rules being clear. A front desk checklist keeps arrivals smooth and makes sure nothing falls between shifts.

Shift Start

  • Read the handover notes from the previous shift
  • Check today's arrivals, departures and any special requests
  • Count keys, key cards and locker keys
  • Check the cash float and card reader
  • Check that the booking system and Wi-Fi are working

Check-In

  • Verify ID according to your policy and local requirements
  • Explain house rules, quiet hours, kitchen rules and checkout time
  • Assign beds and lockers, and record them
  • Take any deposit and explain refunds
  • Give the Wi-Fi details and emergency information

Room Readiness

  • Confirm dorms and private rooms have been cleaned after checkout
  • Check beds are made and linen is fresh
  • Check lockers are empty and working
  • Report maintenance issues straight away

Common Areas

  • Check kitchen cleanliness and that food rules are followed
  • Check bathrooms and showers through the day
  • Keep lounge areas tidy
  • Check fire exits are clear and fire equipment in place

Safety and Security

  • Know the evacuation plan and assembly point
  • Know how to handle a guest who is unwell or intoxicated
  • Log any incident or complaint
  • Check entrances are secure at night

Night Shift

  • Do a walk-round at set times
  • Handle late arrivals and early departures
  • Keep noise in check during quiet hours
  • Prepare the morning arrivals list

Shift End

  • Reconcile cash and payments
  • Count keys again
  • Write a clear handover note: issues, guests to follow up, maintenance needed
