
Flu Shot Clinic Day Checklist for Pharmacies and Workplaces
Every autumn, pharmacies, clinics and employers run flu vaccination days, and many now offer other seasonal vaccines alongside. A clinic day is a small operation with a lot of moving parts: appointments and walk-ins, consent and screening, vaccine storage, observation and records. A checklist keeps people moving and keeps every step that protects patients in place.
This checklist covers the operational side. Clinical decisions, eligibility and vaccine handling must follow your licensing body, the manufacturer's instructions and public health guidance where you work.
Before Clinic Day
- Confirm qualified vaccinators and support staff are scheduled
- Confirm vaccine order, delivery date and storage capacity
- Check refrigerator and temperature monitoring equipment
- Prepare consent and screening forms
- Set up appointment slots and walk-in policy
- Plan the layout: check-in, waiting, screening, vaccination, observation
- Confirm the emergency response kit and protocol
Opening
- Check and log vaccine fridge temperatures
- Check stock and expiry dates
- Set up vaccination stations with supplies: syringes, swabs, plasters, sharps bins
- Check the emergency kit is complete and in date
- Brief the team: roles, expected numbers, escalation process
Patient Flow
- Check in each patient and confirm the appointment
- Complete consent and screening before vaccination
- Keep queues spaced and seating available for those who need it
- Direct patients to the observation area after vaccination if your protocol requires it
Vaccination Stations
- Follow your clinical protocol for preparing and administering vaccines
- Dispose of sharps immediately in the correct container
- Restock supplies between patients
- Record each vaccination accurately as required
Observation and Safety
- Staff the observation area at all times
- Know who responds to an adverse reaction and where the emergency kit is
- Log any reaction and the response
Closing
- Return unused vaccine to storage and log temperatures
- Reconcile doses used against records
- Close and secure sharps containers
- Clean and tidy the area
- Complete records and any required reporting
- Note supply needs for the next clinic
