
Holiday Pop-Up Shop Setup Checklist
Every year, empty storefronts, mall kiosks and market stalls turn into holiday pop-ups for a few weeks: gift shops, makers' collectives, toy stores, calendar shops. The opportunity is real and the timeline is brutal. There is no time to learn by mistake, so the setup has to be planned like a project with a fixed opening date.
Six to Eight Weeks Out
- Confirm the space, dates and the lease or licence terms in writing
- Check what is included: utilities, Wi-Fi, security, insurance requirements
- Apply for any permits or business licences the location requires
- Confirm insurance, including liability cover the landlord may require
- Plan the layout and fixtures you will need
- Set opening hours, including late-night shopping days
Four Weeks Out
- Order stock with delivery dates well before opening
- Order or borrow fixtures, signage and lighting
- Set up the POS, card readers and inventory system
- Recruit and schedule staff for the whole run, including weekends
- Plan your marketing: signage, social posts, email to existing customers
Two Weeks Out
- Test POS and payments, including a backup if the Wi-Fi fails
- Prepare price labels and gift wrap station supplies
- Write a one-page staff guide: opening, closing, cash, returns, emergencies
- Confirm the returns and exchange policy and print it for the counter
- Plan where stock will be stored and how it will be replenished
Setup Days
- Clean the space thoroughly
- Install fixtures, lighting and signage
- Merchandise the floor with best sellers at eye level and near the entrance
- Set up the counter, wrap station and queue space
- Walk the space for trip hazards and clear fire exits
- Photograph the finished setup for social media and for reference
Opening Routine (Every Day)
- Turn on lights and heating
- Count the float and check card readers
- Restock and face shelves
- Check signage and prices
- Quick briefing for staff on the day's promotions and stock levels
Closing Routine (Every Day)
- Count cash and reconcile card payments
- Restock from storage for the next day
- Note best sellers and low stock
- Secure stock and cash
- Lock up and check alarms if fitted
Teardown
- Plan the last day and any final sale
- Count remaining stock and arrange storage or return
- Remove fixtures and signage
- Clean the space and return it in the condition required by the lease
- Photograph the empty space for deposit purposes
- Hold a short review: what sold, what did not, what to do differently next year
Payments and Taxes
Short-term retail still has to collect sales tax where required and keep proper records. The US Small Business Administration has guidance on registering, licensing and taxes that is worth reading if this is your first retail venture.
