Gaming cafes, LAN centres and esports arenas have a simple promise: show up and play on a better setup than you have at home. That promise breaks the moment a PC will not boot, a headset is sticky or the network lags during a tournament. Most venues run with small teams, so a daily routine that catches problems before customers do is the core of the job.
Opening
- Power on all stations and check each one boots correctly
- Check internet speed and latency on a test machine
- Confirm game launchers and licences are logged in and updated
- Check peripherals at every station: mouse, keyboard, headset, controller
- Check monitors for dead pixels or display issues
- Turn on HVAC; gaming rooms get warm quickly
Station Hygiene
Shared peripherals touch a lot of hands and faces.
- Wipe keyboards, mice, controllers and headsets between sessions with appropriate cleaning products
- Replace or clean headset ear cushions on a schedule
- Clean desks and chairs
- Provide hand sanitiser at the counter
Software and Updates
Game and launcher updates are the most common cause of "station down" complaints.
- Schedule updates outside opening hours where possible
- Check that game updates installed correctly on every station
- Confirm session management software is working
- Keep a list of stations with known issues
Front Desk
- Check memberships, accounts and age verification according to your policy
- Explain session times, rules and food and drink policies
- Sell or assign time and log sessions
- Keep the snack and drink counter stocked and clean
Age Ratings and Safeguarding
Many players are under 18. Have a clear policy for age-rated games (for example ESRB or PEGI ratings), parental consent and staff supervision. Staff working regularly with minors may need background checks depending on your local rules.
Events and Tournaments
- Test every tournament station well before the event
- Set up a wired, prioritised network for tournament machines
- Prepare brackets, rules and check-in
- Brief staff on roles: admin, tech support, host
- Have spare peripherals ready
Safety
- Keep cables tidy and away from walkways
- Do not overload power strips; use proper power distribution
- Keep emergency exits clear
- Know where the first-aid kit is
- Encourage breaks during long sessions
Closing
- Log out all sessions and shut down or restart stations according to your update plan
- Clean all stations and peripherals
- Restock the counter
- Note stations needing repair
- Lock up and set the alarm
