Physical Therapy Clinic Daily Checklist
A physical therapy clinic is one of the busiest healthcare environments outside the hospital. Therapists see patients back-to-back, every 30 to 45 minutes, all day. Treatment plans evolve, insurance authorizations expire, equipment needs sanitizing between every use. The clinics that run smoothly are the ones with a tight operational rhythm.
Opening the Clinic
The first 30 minutes is about setting up for a full schedule.
- Unlock and turn on the gym lights
- Boot up the EMR and scheduling system
- Pull the day's schedule and review for any flags
- Verify insurance authorizations expiring in the next two weeks
- Stock the treatment area with linens, towels, and gloves
- Confirm modality equipment is functional (ultrasound, e-stim, ice and heat)
- Wipe down all equipment and treatment tables
Patient Flow
A PT clinic lives on flow. A 30-minute appointment that runs 45 minutes destroys the rest of the day's schedule.
Greet patients on arrival and start the warm-up promptly. Patients should not sit in the lobby longer than five minutes.
Document treatment in the EMR during the session when possible. Catching up on notes at the end of the day is how documentation gaps happen.
Confirm the next appointment before the patient leaves. Continuity of care depends on consistent visits.
Between Patients
The turnover between patients has to be fast and clean.
- Sanitize the treatment table and any equipment used
- Replace any towels or linens used
- Reset the area for the next patient's treatment plan
- Update the EMR with the previous session's notes if not done in real time
Equipment Care
The clinic's equipment is its inventory. Broken equipment is a session that does not happen.
Modality machines. Wipe down after every use. Check cords and connections daily. Calibrate per the manufacturer's schedule.
Gym equipment. Wipe down weights, mats, bands, and machines continuously. Replace bands and small equipment at the first sign of wear.
Treatment tables. Disinfect between every patient. Inspect padding and adjustments weekly.
Billing and Authorizations
The clinical work means nothing if the billing falls apart. PT is one of the most heavily authorized specialties in healthcare.
- Verify authorizations for every patient before their session
- Submit visit notes to billing within 24 hours
- Track ongoing authorization counts and flag patients approaching their limit
- Submit any required progress notes to insurance on schedule
Closing the Clinic
- Final wipe down of every treatment table and modality machine
- Wash and prepare linens for tomorrow
- Confirm tomorrow's first appointments
- Submit any remaining EMR notes
- Reconcile the day's copays and payments
- Lock the clinic and arm the alarm
Why PT Clinics Need Discipline
A PT clinic that runs sloppy loses patients and money. Patients drop off when sessions feel rushed or chaotic. Insurance denies claims when documentation lags. The compounding effect is brutal. The clinics that thrive are the ones with operational discipline matching their clinical skill.
How MyTeamTasks Helps
A digital checklist for opening, turnover, and closing means every PT, tech, and front desk team member knows their lane. The owner can see daily completion rates without standing in the gym. Patients get a clean, sanitized space every visit. Billing stays current because the routine includes the documentation prompts. The clinic runs as well clinically as it does operationally.
