
Coworking Space Daily Operations Checklist
A coworking space sells the same thing every month, to the same people, who can cancel at any time. That is a harder business than it looks. Every small failure is experienced directly by a paying member sitting ten feet from the front desk.
Members rarely leave because of one dramatic problem. They leave because the printer was jammed three times in two weeks, the phone booth smelled, the meeting room they booked was occupied by someone else, and the milk ran out at 10 a.m. on a Tuesday. Each of those is small. Together they are a churn number.
The operational answer is a routine that runs before members arrive and continues quietly all day.
Opening
- Unlock the space and disarm the alarm
- Turn on lighting, HVAC, and music at the correct levels
- Confirm the wifi is up on both member and guest networks
- Confirm the door access system is online and logging
- Walk every room and confirm it was reset from the night before
- Check the front desk for overnight deliveries and mail
The full walk at open is what prevents the 9:15 a.m. surprise. A meeting room left dirty by a 7 p.m. booking last night is a problem you want to find at 8 a.m., not when the member who booked it at 9 walks in.
Coffee and Kitchen
The kitchen is the most-used shared amenity in almost every coworking space, and it is the most common source of complaints.
- Brew fresh coffee before the first members arrive
- Check and refill milk, alternative milks, sugar, and tea
- Confirm the espresso machine is clean and has water and beans
- Run the dishwasher if it was left loaded overnight
- Empty and reset the dish rack
- Wipe counters, sink, and the front of the fridge
- Confirm cups, glasses, and utensils are stocked
- Check the fridge for expired or abandoned food
Alternative milks deserve their own line. Running out of oat milk in a space full of knowledge workers generates more front-desk conversation than a network outage.
Meeting Rooms and Phone Booths
- Confirm each room matches its booking calendar status
- Wipe the table and clean any whiteboards
- Confirm chairs are returned to their standard arrangement
- Check that the display, HDMI cable, and video conferencing gear work
- Confirm markers and erasers are present and functional
- Confirm the room is free of previous occupants' belongings
- Air out phone booths and check for odor
A dead whiteboard marker in a room where a member is running a client workshop is a small item with an outsized emotional cost. Test them; do not just count them.
Technology Check
- Confirm internet speed on both networks meets the advertised baseline
- Confirm printer is online, has paper, and has toner
- Clear any stuck print jobs
- Confirm the guest wifi password display is current
- Test the door access system with a test credential
- Confirm the booking system is syncing with room displays
Internet is the product. A space that markets itself on reliability and does not test its own connection daily is trusting a router to self-report.
Desks and Common Areas
- Confirm hot desks are cleared and wiped
- Reset chairs and monitor arms to neutral position
- Confirm dedicated desks were not disturbed
- Clear common tables of abandoned items
- Straighten lounge furniture and cushions
- Check plant health and water as scheduled
- Confirm charging cables and power strips are present and undamaged
Abandoned items on a hot desk are a policy question, not a cleaning question. Decide the rule, publish it to members, and apply it the same way every morning.
Restrooms
- Check and restock paper products
- Check and refill soap and sanitizer
- Wipe counters and mirrors
- Confirm no fixtures are leaking or running
- Empty bins
- Confirm ventilation is working
Restrooms should be checked at least three times a day in an active space: at open, at midday, and mid-afternoon. Members judge the entire operation by this room.
Midday Reset
The midday pass is what separates spaces that feel maintained from spaces that feel maintained only in the morning.
- Re-brew coffee and restock the kitchen
- Clear lunch dishes from common tables
- Reset meeting rooms between bookings
- Check restrooms
- Empty kitchen and common area bins
- Walk the space and correct anything visibly out of place
Member Experience and Front Desk
- Greet arriving members and guests
- Confirm scheduled tours are prepared for
- Confirm guest registrations for today are in the access system
- Process incoming mail and notify recipients
- Respond to the member Slack, app, or email channel
- Log every member complaint or request, however minor
The complaint log is worth more than it looks. One member mentioning the temperature is a preference. Six members mentioning it in a week is a facilities project, and you will only know the difference if it was written down.
Closing
- Confirm all meeting rooms are reset for the morning
- Run and empty the dishwasher
- Clean the coffee equipment
- Confirm all common areas are cleared and wiped
- Empty all bins
- Confirm windows and exterior doors are secured
- Confirm no members remain if the space is not 24/7
- Set HVAC to overnight schedule
- Arm the alarm
Weekly and Monthly
- Deep clean the kitchen including the fridge interior
- Test the fire alarm and confirm extinguisher inspection tags
- Confirm first aid kit contents and expiry dates
- Review room booking utilization against capacity
- Review member churn and renewal dates for the coming month
- Inspect furniture for damage and schedule repairs
- Confirm cleaning vendor performance against the contract
The renewal review is an operations task, not just a sales task. A member whose renewal is three weeks away and who has logged two complaints this month is a conversation to have now, not after they give notice.
Tours
A tour is a sales event that depends entirely on operations having done their job.
- Confirm the space is fully reset before the scheduled time
- Confirm coffee is fresh
- Confirm the meeting room used for the tour close is clean and available
- Confirm the prospect's name is known at the front desk
- Follow up the same day with the plan discussed
Prospects on a tour notice the same things members notice. The difference is that they have not yet decided to forgive anything.
