
Car Rental Counter and Lot Daily Checklist
A car rental branch, whether at an airport or a neighbourhood office, is judged in two moments: when the customer picks up the car and when they return it. In between, the team has to clean, inspect, fuel and prepare vehicles, manage reservations and handle damage claims fairly. When the routine slips, customers wait, cars go out dirty or damaged, and disputes follow.
Opening
- Check the reservation list for the day, including one-way and long rentals
- Confirm enough vehicles are ready in each class
- Check keys, key tags and lockboxes match the system
- Check the counter: contracts, card terminal, printer, signage
- Walk the lot for damage, low tyres and vehicles out of place
Vehicle Preparation
- Clean interior and exterior, including vacuuming and wiping touchpoints
- Check fuel or charge level meets policy
- Check tyre pressure, lights, wipers and warning lights
- Check required documents are in the vehicle
- Remove items left by the previous renter and log lost property
- Mark the vehicle as ready in the system only after all checks
Damage Inspection
Damage disputes are one of the biggest sources of complaints in rental. Clear, timestamped photos protect both the customer and the branch.
- Photograph each side of the car, plus wheels, windscreen and interior, at pick-up
- Record existing damage on the vehicle condition report
- Walk the car with the customer where possible
- Repeat the same photos at return
- Note fuel, mileage and time on both checks
The US Federal Trade Commission has warned about unclear fees in consumer transactions, and rental damage and fuel charges are a frequent complaint area. Charges you can show with photos and records are far easier to defend.
At the Counter
- Confirm the driver's licence and payment details
- Explain fuel or charging policy, mileage, tolls and returns clearly
- Offer additional products without pressure, and record the customer's choice
- Hand over keys only after the paperwork is complete
- Give clear directions to the car
Returns
- Inspect the car promptly and photograph it
- Check fuel or charge, mileage and interior condition
- Explain any charges to the customer at the time, with evidence
- Close the contract and give or send a receipt
- Move the car to the cleaning queue
